  • Why doesn't code INSUR work on the ledger screen?

  • Insurance receipt codes must be posted from the claims payment screen. So that you have a way to enter insurance payments that are received on balance forward amounts, there is a special code INS-L that can be used on the ledger screen. Checks posted with this code will print on the bank deposit form with the other insurance checks.

  • On the bank deposit slip, why do some checks print using an insurance company name instead of a patient's name?

If an insurance check was posted through the bulk check payment screen, the insurance company name will print. If an insurance check was posted through the claims payment screen, the patient name will print. To see detailed transactions for a bulk check, print the receipts journal.

  • Can I use the completed folder to chart procedures that were done in the office prior to using Dental.com®?

No, these procedures should be entered under pre-existing. Only scheduled appointments should be moved to the completed folder. This is typically done in the operatory, so that the front desk staff knows that any necessary changes have been made to the procedures. The system will then post what is in the completed folder prior to posting any new appointments.

  • A patient gets married or divorced and their last name changes, why can't I change the chart code?

Once a chart code has been entered, it is permanent. You can change the last name and the guarantor, but the chart code stays the same. You have the ability to search by patient name, SSN, or chart code. Think of the chart code as a number - no matter what number the patient is, this is the same patient no matter how many times the last name changes.

  • How do I run my end of month reports?

Dental.com® does not have any "must run" reports for the end of month. We recommend running an Aged Accounts Receivable report so that you may review the outstanding accounts receivable. You may also run a Practice Analysis report, but this is date driven so it may be run any time. Under the Production Report, you can print the Monthly Production Comparison report and the Daily Production Breakdown for the Month. These are not required but offer an abundance of practice information.

  • What is an end of month backup?

The end of month back up is the same as a daily backup. This is done as a precaution and we recommend that you alternate between two month end tapes.

  • How do I print a fee schedule?

Under the reports menu, choose the Procedure Code Listing. This may be printed by code or description with the fees.

  • Once a treatment plan has been entered, how do you review it and print the plan?

Once a treatment plan has been entered, either thru the appointment book or the T icon, it may be viewed in these same areas until the treatment is posted or deleted. Under the appointment book, click on the plus next to the treatment phase and this will display the different phases. Click on the plus next to the phase, and the procedures will display. If you are not on the appointment book, click on the red and white T and the procedures will display. This is also how you submit preauthorizations which may be viewed under claims. To print a phase, choose Treatment Plan under the reports menu.

  • A patient wants a copy of what was done last month or last year, how do I print this out?

Under the reports menu, choose Patient History. The specific date range may be entered or left blank for all history transactions. This report prints by family history or patient history.

  • How do I find out what the outstanding insurance is on my system?

Under the reports menu, choose the Insurance Claims Summary for outstanding claims that are 30,60, and 90 day plus by insurance carrier. The Insurance Claim Detail report prints the specifics including patient name and social security number.

  • A child lives with his mother but the father (who lives elsewhere) is responsible for the bill. How do I set this family up?

The father should be the guarantor for the child but the mother's address should be entered on the child's chart. Remove the check marks under Use Guarantor's address and phone so that the child has the correct address for recall cards and correspondence.

  • Insurance has paid and I want to send a statement. How?

When an insurance payment is made, the system automatically prompts you to print a walk out. Answer yes to this and the walk out may act as a statement. This will allow you to do continuous billing.

  • I have an icon for Patient Education, but it is grayed out. Why?

Dental.com allows you to bridge to a third party patient education software. If you have already purchased this software, please refer to your Dental.com manual or call support for assistance. CAESY patient education solutions are also available through your Patterson Technology Representative.
